Separate confirmed appointments from options

List the exact Interlaken meeting address and host contact, then mark optional hospitality or leisure activities separately. The provider should be able to see which appointments have fixed times and which depend on the client’s decision. A destination name alone is not enough to establish the duties or service period. Include the name of the person who can decide whether an optional activity should remain in the programme.

Explain the travelling group

Clarify whether the executive travels alone, with colleagues or with family members who follow a different programme. A shared limousine does not mean every passenger receives individual protection. If the party plans to split, describe those movements before staffing is accepted so the requested support remains achievable and clearly assigned. Tell the provider whether an assistant stays with the principal or joins another part of the travelling group.

Review non-business activities

If the visit includes an organised excursion or activity, give the provider its general nature and the operator’s contact. Do not assume personal protection includes specialist activity supervision, equipment or rescue services. The client and provider should review the requested accompaniment, while the activity organiser confirms its own participation requirements. Any new activity should receive its own review instead of being treated as an ordinary extra roadside stop.

Agree the return decision

Identify who decides when the group leaves Interlaken and whether the service ends in Zurich city or at Zurich Airport. If the day may extend, agree how additional hours are approved. Keep the protection personnel and limousine as separate commercial lines so a revised programme can be understood and confirmed accurately. If the return becomes an overnight stay, request a revised staffing arrangement before assuming that support continues uninterrupted.
