Map the meeting stages
Separate arrivals, registration, the closed meeting, breaks and departures. The board secretary should identify which stages need accompaniment and which remain under the venue’s control. Do not assume a protection professional can enter every room; guest approval and confidentiality arrangements belong in the advance discussion with the host. If directors join remotely or arrive after the opening session, note only the logistics relevant to the booked service rather than circulating the complete board agenda.
Protect meeting privacy
Provide staff with the details they need to perform the agreed duties, not the board papers themselves. Use role-based contacts such as meeting coordinator where possible. Agree whether names may appear on a reception list and whether a discreet booking reference can be used for routine coordination. The meeting organiser can use a restricted operational contact sheet instead of adding external service providers to a distribution list containing confidential board material.
Plan staggered departures
Board members may leave at different times or continue to separate appointments. A single guard cannot accompany several people in different locations simultaneously. Explain the expected departure pattern during quoting, then decide whether the service is for one principal, a group moving together or multiple independently supported visitors. If several directors require separate departures, request a staffing proposal before the meeting day rather than asking the assigned professional to choose whom to accompany.
Manage extensions transparently
A meeting that runs late can affect both protection hours and chauffeur availability. Give the meeting coordinator authority to request an extension and identify who approves the cost. Record the actual finish against the confirmed booking rather than assuming that a scheduled eight-hour assignment includes unlimited evening support. Ask the board secretary to send a clear update when the meeting breaks or resumes if that change affects the agreed accompaniment or departure arrangement.
