Clarify responsibilities
The venue or event organiser normally controls its own admission process. A privately booked professional supporting a visitor should work within that process. Discuss credentials, guest registration and the appropriate contact before the event; do not promise that a personal booking will bypass queues, checks or the organiser’s rules. The event contact should explain how an accompanying professional is registered and whom to approach if the visitor’s name is absent from the approved list.
Identify public moments
Tell the coordinator whether the executive will speak, answer questions or meet attendees after the formal session. Public-facing activities can create a different service requirement from attending quietly. Include the anticipated duration and the organiser’s contact so the requested support can be assessed without relying on assumptions. If the executive’s role changes from guest to speaker, share the revised programme promptly because preparation time and permitted areas may also change.
Coordinate the supporting team
An executive assistant, communications adviser and chauffeur may each hold part of the plan. Establish one shared appointment sequence and one contact for changes. Keep media arrangements with the communications team, meeting access with the organiser and protection duties with the assigned professional, while ensuring relevant updates reach everyone. A short coordination note can state who handles each responsibility, preventing a routine media request from being passed to the wrong person during the event.
Review the departure request
The end of the formal agenda may not be the end of the visit. Include any reception, press appointment or private dinner in the enquiry. If those activities remain optional, mark them as provisional and ask how availability would be confirmed rather than treating an open calendar invitation as an accepted extension. The commercial confirmation should identify whether the later reception is included in the booked hours or remains a separate request awaiting the provider’s acceptance.
