Confirm the flight framework
Provide the flight number, departure date and the traveller’s requested airport arrival time. The traveller or travel organiser should confirm airline and travel requirements independently. A protection booking does not accelerate check-in or airport procedures, and the itinerary should not rely on unsupported promises about processing or road conditions. If the traveller has already arranged airport assistance, provide the relevant coordination contact without assuming the private provider supplies it.
Protect the final appointment boundary
Identify the last meeting’s exact address, host contact and intended finish. Explain who can decide to leave or revise the plan if the meeting overruns. The chauffeur and protection professional need a clear instruction, while business decisions about extending a discussion should remain with the principal or authorised assistant. The authorised assistant should communicate the agreed decision promptly rather than leave different providers to interpret the meeting’s progress.
Define the airport handover
State whether the protection service ends at the drop-off, a public terminal meeting point or another specifically authorised location. Restricted-area access is not implied. If an airline or airport assistance provider takes over, confirm that arrangement with the relevant organisation and identify the contact responsible for the handover. The guest should know when the private assignment finishes and which organisation is responsible for the next agreed stage.
Plan for a changed departure
A cancelled or moved flight may require new personnel hours, a hotel return or another vehicle reservation. Ask the coordinator to obtain revised confirmation from each provider rather than assuming indefinite availability. The final service record should show the accepted hours and actual handover, with protection and limousine charges kept separate. If the visit continues overnight, request a reviewed staffing arrangement instead of extending the original daytime plan by assumption.
