Start with the arrival handover

Provide the flight details, Zurich arrival date and the agreed public meeting point. Distinguish the initial airport welcome from the later programme. Restricted-area access, airline assistance and expedited airport processing are not implied by a protection booking and must be arranged separately through the organisations authorised to provide them. If the guest arrives separately from other participants, create a distinct appointment rather than combining several unrelated arrival instructions.

Break the programme into days

For each date, list the requested start, appointments, intervals and planned finish. Mark uncertain activities as provisional. A day-by-day brief allows the provider to assess availability and staffing rather than interpret a hotel reservation covering several nights as a request for continuous personal accompaniment throughout the entire stay. Highlight any early starts or evening commitments so the provider can review them before the client circulates the programme.

Confirm staffing and accommodation

Ask for written arrangements addressing working periods, any replacement personnel and accommodation where relevant. The eight-hour minimum applies to the booking terms agreed for each guard; it does not establish unlimited daily availability. Discuss additional expenses and duties openly so the client can review the full service proposal before accepting it. The client should also know who will communicate changes when an assigned professional is replaced during the agreed programme.

Define the final release

State whether the assignment ends at Zurich Airport, a Zurich hotel or another specifically reviewed point. If flight plans change, ask the coordinator to confirm revised availability and charges. Keep the limousine reservations aligned with the same programme but separate from the personnel agreement, especially when different vehicles serve different days. Ask the organiser to remove superseded itineraries from shared calendars once a materially revised final day is confirmed.
