Private protection for a visiting speaker at a Zurich university. A practical planning overview · read the full guide below

Identify the institutional host

Provide the department, organiser and exact building address for the appointment. A university name alone is not an adequate pickup or arrival instruction. Ask the host to confirm guest registration and the contact who can answer practical questions about the lecture, meeting or reception. If several university departments are involved, nominate one organising contact to consolidate the schedule and resolve inconsistent room or building information before arrival.

Coordinate with campus arrangements

The institution controls its premises and event procedures. Discuss the accompanying professional’s requested access with the responsible host before arrival. Private protection does not replace campus staff, confer institutional authority or automatically include duties relating to other attendees. The host should explain any registration deadline for the accompanying professional and confirm where that person may remain during the lecture or meeting.

Review public participation

Include any lecture, questions, photographs or informal discussion in the programme. The speaker and host should agree the format and communicate relevant logistical decisions. If additional engagements are proposed on the day, refer them to the authorised client contact rather than assuming they fit the original scope. For a reception after the lecture, ask whether the same organiser controls access or a different venue contact must approve the accompaniment arrangement.

Link the Zurich travel plan

State whether the visitor arrives from a Zurich hotel or Zurich Airport and where the assignment ends. A separate limousine booking should match the same schedule. Count the full requested service period when budgeting, including preparation and post-event availability, and confirm any extension in writing. If the visit includes an overnight stay, define whether support is requested again the next day rather than assuming one booking creates continuous availability.
