Calculate personnel hours

At CHF65 per guard per hour, two guards booked for eight hours each cost CHF1,040 in personnel charges. Write the calculation as two people multiplied by eight hours multiplied by CHF65. This makes the budget easier to check and avoids confusing the combined hourly charge with the rate for one person. The same transparent method makes later comparisons possible when the client considers different confirmed staffing periods for the visit.

Explain why two are requested

Describe the practical programme, including whether two principals attend separate meetings or the group remains together. Let the provider review the requested arrangement and confirm suitability. Choosing a number in a booking form is a request for staffing, not evidence that every duty or simultaneous activity has been accepted. Explain whether both professionals are requested throughout the programme or whether the proposed duties differ between the two people.

Check separate working periods

If the guards are requested at different times, give each intended start and finish. The eight-hour minimum applies per guard. Do not assume unused time from one person can be transferred to another, or that a later arrival changes the minimum; ask the provider to confirm the specific commercial arrangement in writing. A staggered arrival should therefore appear as two clearly described assignments, each with its own accepted service period.

Add vehicles independently

Confirm how many people travel together, including accompanying personnel, before selecting transport. One or more limousine vehicles may be needed depending on the party and itinerary. Vehicle charges remain separate from the CHF1,040 minimum personnel example, and the final offer should state both components clearly before the client approves it. Include the guards in the passenger calculation whenever the agreed programme requires them to travel in the client’s vehicle.
