Set a publication preference
The visitor or communications representative should decide whether locations and activities are shared publicly. Explain that preference to the people arranging the visit. The protection provider can respect agreed confidentiality within its role, but it cannot guarantee that unrelated attendees, venues or members of the public will not publish material. If several representatives manage the visitor’s accounts, ask them to agree one publication approach rather than giving operational staff conflicting instructions about visibility.
Keep booking details off public posts
Avoid sharing booking references, contact sheets, room information or screenshots containing personal data. Public photographs can be considered separately from operational documents. The client should review what is visible before posting, especially when an image includes other people who have not agreed to appear. The client can create a separate public-facing schedule if desired, keeping private contact details and unannounced appointments out of material intended for broad circulation.
Clarify staff photography
Ask for agreement about photographs taken during the assignment and their intended use. An illustrative website image is not evidence that a real employee or client has consented to publicity. Any request to photograph or name assigned personnel should be discussed with the provider and the individuals concerned. If an event photographer is present, raise the visitor’s preferences with the organiser; the private provider cannot independently control every camera at a venue.
Use the right communication channel
Schedule changes should go through the agreed booking contact rather than a public social-media message. A post announcing a new location is not a confirmed instruction to the provider. Send the revised details privately, obtain acknowledgement and check whether the change affects personnel hours or separate transport arrangements. A change sent through an assistant’s private message should still identify the booking and revised details clearly, so it can be acknowledged as an operational update.
