Choose the essential appointments

Identify the main meeting or activity and the time at which attendance is required. Mark optional visits separately so the client can decide what to remove if the programme changes. Provide exact addresses and host contacts rather than treating a list of towns as a complete itinerary for the working team. Ask the appointment host to identify any preparation or registration period that should be included before the advertised start.

Define the requested accompaniment

Explain which person receives support and during which activities. Ask hosts to confirm the professional’s access where necessary. If the day includes an activity needing specialist supervision or equipment, arrange that through the appropriate organiser and let the protection provider review the proposed role without assuming specialist capabilities. The client should understand which activity provider remains responsible for specialist assistance throughout that part of the programme.

Leave decisions with an authorised contact

Nominate someone who can approve a changed destination, additional stop or later return. That person should know which activities are fixed and which are optional. Send material changes to both the protection and chauffeur coordinators, since agreement by one provider does not automatically change the other service. If the principal cannot respond during a meeting, the coordinator should know the limits of their authority in advance.

Confirm the full service period

The guard’s requested working hours should include the accepted travel and attendance programme, with a minimum eight-hour booking at CHF65 per hour. Limousine charges remain separate. Identify the Zurich hotel, office or airport where the assignment ends so the day does not become an undefined open-ended commitment. Any activity after the Zurich return should be included explicitly if the client expects the professional to remain available.
