Identify the protected role
State whether the request is for the chief executive, a spokesperson or another named visitor. Describe their expected participation and time onsite. Personal protection for a presenter is different from admission management for the whole launch, and the initial brief should not merge those services under a vague security label. If the brand also needs door staff, guest management or venue coverage, request those duties separately rather than expanding the executive’s personal assignment by implication.
Coordinate rehearsal and access
Share the approved rehearsal schedule and event contact. Ask the organiser to confirm which preparation and presentation areas may be accessed by the accompanying professional. Equipment setup, technical production and venue safety remain with the relevant event teams unless another specific responsibility has been agreed in writing. The production coordinator should communicate any rehearsal delay that affects the guest’s arrival or requested waiting period, even if the public launch time remains unchanged.
Keep communications decisions separate
The communications team should decide interview slots, guest photographs and public statements. The protection professional can work around that programme but should not be assumed to act as a media spokesperson. Give the team one contact for changes so a revised press slot reaches everyone supporting the executive. Where an interview is added at another location, provide the complete address and host details so the provider can review the revised itinerary properly.
Budget the complete attendance
Count the requested preparation and post-event availability when defining the booking hours. The personnel rate is CHF65 per guard per hour with a minimum of eight hours. Quote transport separately, and ask for written confirmation if a daytime launch expands into an evening reception or additional private meeting. If the launch lasts several days, define the service period for each date and ask how staffing will be arranged across the complete programme.
