Confirm appointments with stores
Provide the store names, addresses and appointment contacts where visits are scheduled. Ask each store about its preferred arrangements for an accompanying professional. A personal protection booking does not include private opening hours, priority service or access to areas that the store has not authorised. If the guest adds a store without an appointment, treat access and service arrangements as unconfirmed until the relevant parties have accepted the revised plan.
Keep purchase information limited
The provider usually needs the itinerary and practical requirements, not a detailed list of intended purchases or their value. If special handling is needed, discuss it separately with the retailer and relevant transport provider. Avoid sending payment details, account information or photographs of valuables through an ordinary booking form. The client’s assistant can keep purchase administration separate from the movement schedule, limiting financial detail to the retailer and people responsible for payment.
Clarify custody responsibilities
Do not assume that the guard or chauffeur accepts custody, insurance responsibility or inventory duties for purchases. Any such request needs explicit review and written acceptance by the appropriate provider. The customer should know who holds each item and which arrangements apply before leaving it with another person. If the retailer offers delivery or storage, obtain its terms directly rather than assuming the guard’s presence changes the retailer’s responsibilities for the goods.
Allow a flexible but bounded day
Appointments may finish early or lead to additional visits. Identify who can approve changes and how they affect the agreed hours. A spontaneous additional visit may still affect the final appointment or return transfer, so the coordinator should communicate the updated sequence to everyone involved.
