Identify the aviation coordinator

Provide the operator or handling contact authorised to discuss arrival logistics. Aircraft scheduling, passenger processing and airside permissions remain with the relevant aviation organisations. The protection provider should receive confirmed meeting instructions from that contact, not rely on a generic description such as private terminal pickup. Use the contact actually handling the specific flight, since a general sales or charter contact may not be responsible for local arrival instructions.

Confirm permitted access

Ask exactly where the protection professional may meet the passenger and which credentials are required. Access to aircraft, apron areas or controlled facilities is not included merely because a private flight is used. Any authorised access should be confirmed through the appropriate operator before it appears in the guest’s itinerary. If the operator changes the handling arrangement, obtain fresh meeting instructions and ensure the chauffeur receives the same confirmed information as the protection coordinator.

Align transport capacity

State the party size and luggage requirements, including large cases or presentation materials. The chauffeur vehicle and protection staffing should be specified separately. If the principal and accompanying team travel in different vehicles, describe whether they will remain together or split into independent schedules after arrival. Where another provider supplies vehicles, nominate one person to reconcile passenger numbers and departure timing across the separate organisations before the aircraft arrives.

Manage changing timings

Private flight schedules can change at short notice. Nominate a single coordinator to communicate the latest confirmed arrival and approve any revised service hours. A change sent to an aviation provider is not automatically communicated to the chauffeur or protection team; obtain acknowledgement from each relevant booking contact. If the principal changes the onward destination during the flight, ask the authorised organiser to confirm the revised scope rather than relying on an informal message.
