Confirm the guest’s role

Explain whether the visitor is speaking, appearing on a panel or attending as a company representative. Include any preparation, photographs and post-event interviews. The public start time is only one part of the programme; the provider needs the full requested attendance to assess staffing and availability. If the guest has a private preparation meeting before the press conference, ask the host to confirm its location and any separate access requirements.

Agree organiser coordination

Ask the organiser to identify the person responsible for access and programme changes. Confirm any credentials required by the accompanying professional. Personal protection does not automatically include audience screening, press accreditation or venue management, so keep those responsibilities assigned to the organisations that have accepted them. Where the organiser uses an accreditation deadline, ensure the accompanying professional’s details are submitted through the approved process rather than added informally on arrival.

Use an authorised communications lead

The client’s communications contact should decide which additional interview requests are accepted. Provide that contact to the working team so a new request can be referred promptly. Do not leave the protection professional to decide business messaging or make statements on behalf of the guest without a separate authorisation. The communications lead should tell the team whether a proposed media request is accepted, declined or still pending, avoiding ambiguous instructions about the guest’s availability.

Include the departure programme

Confirm the next address and whether the guest remains for informal discussion. A later departure may change both protection hours and vehicle availability. Record the accepted extension through the booking coordinator and keep the service endpoint distinct from the formal end of the press conference. If the guest departs with another organisation’s vehicle, clarify whether that is an agreed handover or a change requiring the private provider’s continued presence.
