Confirm the actual date
An overnight flight or a landing shortly after midnight can create date confusion. State the local Zurich date and time clearly, and include the flight number. The booking confirmation should repeat the intended start so the guest, assistant, protection professional and chauffeur are all working to the same appointment. When an assistant is working in another time zone, include Europe/Zurich in the written confirmation rather than relying on an unlabeled calendar time.
Contact the hotel in advance
If the guest proceeds directly to a hotel, confirm that the reservation and late arrival are known to reception. Share the reception contact needed for logistical coordination without distributing the guest’s room number unnecessarily. A protection booking cannot resolve an unconfirmed accommodation reservation on behalf of the hotel. If a colleague will handle check-in for the guest, confirm that arrangement with the hotel directly and keep the protection professional informed only as needed.
Scope the evening correctly
Explain whether support is required only for arrival and hotel handover or through additional evening activities. The minimum booking remains eight hours per guard, even when the initial transfer is short. Clarify the intended availability within those hours rather than assuming the service is an airport journey priced by distance. If the guest wants support again the following morning, request a separate confirmed staffing arrangement instead of assuming the overnight professional will continue automatically.
Agree delayed-flight handling
A late flight can move an assignment into a different part of the night. Ask how the provider will assess a revised start and whether a change requires fresh confirmation. Record any agreed additional costs and keep the guest informed through the nominated contact rather than making an unverified availability promise. Where the revised arrival cannot be supported as originally requested, the client needs a clear accepted alternative before making promises to the traveller.
