State the working language

Identify the language in which the client or assistant wants routine booking and schedule communication. If different members of the group use different languages, explain who needs to understand operational updates. The provider should confirm the personnel arrangement rather than treat a preference selected on a form as guaranteed availability. Explain whether the language is needed for direct conversation with the principal or only for coordination with the organising assistant.

Distinguish interpretation duties

Business negotiations, official meetings and specialist discussions may require an interpreter with a separately agreed role. Do not assume a multilingual guard will translate confidential documents or interpret every conversation. The client should arrange interpretation expressly and keep its responsibilities distinct from personal accompaniment. If an interpreter accompanies the visitor, include that person in the transport capacity calculation and relevant venue registration discussions.

Prepare clear written details

Use full addresses, local dates and unambiguous times in the itinerary. Avoid unexplained abbreviations that may be understood differently by participants. If the programme is translated, identify the current approved version and the person responsible for ensuring that later changes are reflected consistently across languages. Ask the coordinator to repeat material changes in clear written form when several languages are used across the supporting team.

Confirm the contact chain

Name the person who can resolve a misunderstood instruction and approve a change. An interpreter, assistant and booking coordinator may have different authority. Make those roles visible so an accurate translation is not mistaken for commercial approval, and an unconfirmed suggestion is not treated as an accepted new assignment. The current contact list should therefore show both communication roles and the person who may approve additional hours or services.
