Coordinate with the hotel
Ask the hotel which contact should receive arrival updates and what information it needs for guest registration. If the protection professional is expected to accompany the guest beyond public areas, request permission in advance. A booking with Airportcab does not override the hotel’s rules or confer staff access. Where the accommodation was booked by a third party, verify who may discuss arrival arrangements with reception and avoid asking staff to disclose private guest information.
Limit room information
Share a room number only with people who need it for an agreed task. Routine vehicle coordination rarely requires broad circulation of accommodation details. The guest or assistant should decide which hotel contacts are authorised to discuss the booking, particularly when several visitors or corporate departments are involved. If several colleagues stay at the same hotel, use the relevant guest contact rather than circulating a shared list of everyone’s accommodation details.
Clarify waiting arrangements
If the guest wants the professional available while they settle in, agree an appropriate waiting location with the hotel. Explain how the guest or assistant will make contact. The brief should define availability and the expected next activity without treating a lobby presence as permission to monitor unrelated guests. A defined waiting arrangement also helps the guest understand whether they should contact the professional directly or ask the assistant to coordinate the next activity.
Plan the next appointment
Confirm whether the assignment continues to dinner, a meeting or another venue. If the programme remains undecided, establish who can approve it and how the agreed working hours are tracked. A hotel arrival should not leave the protection team or chauffeur unsure whether they have been released or retained. If the guest changes hotels during the visit, obtain a revised address and confirm the effect on both the protection assignment and any separately booked vehicle.
