Confirm the staffing plan

Ask the provider to identify the agreed service periods and how any replacement personnel will be introduced. The plan should reflect the actual programme rather than an undefined promise of round-the-clock support. Confirm the client contact who can answer questions if the principal is occupied during the change. If the principal prefers introductions through an assistant, include that preference in the agreed handover arrangements from the outset.

Share only relevant updates

The incoming professional needs the current itinerary, accepted duties and practical changes relevant to their assignment. Private meeting content and unrelated observations should not become part of a routine handover. Keep the information proportionate and use the client’s agreed confidentiality arrangements for any sensitive details that genuinely need to be shared. Where an appointment has moved, provide the corrected address and time rather than expecting the incoming person to interpret scattered messages.

Update the supporting team

Tell the assistant, host and separate chauffeur about the personnel change where they need to coordinate with the incoming professional. Make clear which contact is current. An old group message or contact card should not cause operational updates to continue going to someone whose agreed service period has ended. The guest should also know the agreed introduction process so the personnel change does not arrive as an unexpected development.

Record the service periods

Keep the accepted hours and guard count clear for billing, including how the eight-hour minimum applies to the confirmed staffing arrangement. Do not assume time can be transferred between different personnel without agreement. The written offer or update should make the commercial effect of the handover understandable before approval. Ask the coordinator to resolve any billing ambiguity before the change is approved, particularly when several working periods are involved.
