Private protection support for an embassy-related Zurich visit. A practical planning overview · read the full guide below

Clarify the purpose of the visit

State the dates, Zurich locations and activities for which private support is requested. Identify the embassy or delegation contact authorised to coordinate the service. The provider needs a practical scope and confirmed decision maker, not confidential diplomatic correspondence or a broad description of official business. If a local business host arranged the meeting, clarify whether that host or the embassy contact may approve changes to the private service and its cost.

Confirm host permissions

Each office, venue or institution controls its own access. Ask the host to confirm whether an accompanying professional may enter the required areas and what registration is necessary. An embassy connection does not automatically grant a private provider access or exempt it from venue procedures. When the visit moves between institutions, confirm each host’s registration process separately rather than treating one approved appointment as access for the whole day.

Define language support

Specify the working language for the assignment and whether an interpreter is separately arranged. A preferred language in a booking form is not a guarantee of professional diplomatic interpretation. Keep interpretation and protection responsibilities distinct so the organiser knows who is accountable for each part of the visit. If an interpreter travels with the visitor, include that person in the vehicle count and coordinate their schedule without assuming they also provide protection services.

Document the accepted service

Obtain confirmation of personnel count, hours, duties and any separate limousine transport. If the programme changes from an ordinary business visit to an activity requiring official coordination, request a fresh review. Do not assume the initial commercial booking covers every later request associated with the delegation. The final confirmation should use the actual service description, avoiding broad wording that could imply official endorsement or powers beyond the accepted private assignment.
