Verify the travel framework
The traveller or travel agent should confirm entry eligibility, baggage arrangements and airline requirements. Private protection does not replace those checks. Provide the inbound and outbound flight details, then distinguish a confirmed business appointment from an optional city visit that can be dropped if the connection changes. If the traveller decides to remain airside or abandon the city visit, notify the provider through the authorised coordinator rather than allowing the appointment to lapse silently.
Keep the programme bounded
Choose a small number of clearly addressed appointments and identify the latest acceptable return decision. Do not fill every available minute with meetings. The service should be planned around the traveller’s real connection constraints, while avoiding promises about airport processing or traffic that the provider cannot control. The organiser should identify which meeting can be shortened or cancelled, leaving business priorities with the client rather than delegating them to operational personnel.
Specify luggage handling
Explain whether luggage stays checked through, travels in the limousine or must be stored through an authorised facility. A personal protection booking does not automatically include custody of bags or valuables. Agree the relevant transport and storage responsibilities explicitly so the guest knows which organisation is responsible for each item. If the airline changes baggage handling after disruption, update the transport requirements so the vehicle booking still reflects the items travelling with the guest.
Confirm the commercial minimum
A short city visit does not remove the eight-hour minimum for each guard. Budget CHF520 for one guard’s minimum assignment, with limousine transport quoted separately. If the visit is cancelled because of flight disruption, refer to the confirmed booking terms rather than assuming a particular refund or rescheduling rule. Ask the provider to restate the accepted service period after any change, particularly when an originally short visit becomes an unplanned overnight stay.
