Describe the information involved

Explain in general terms whether the visit includes confidential business meetings, private family activity or unpublished appearances. Do not send the sensitive content merely to demonstrate its importance. The provider needs to understand the handling expectations so the relevant commercial discussion can take place before confirmation. Explain any restrictions on publicity or use of the client’s name without disclosing the information those restrictions are intended to protect.

Use the client’s review process

If the company requires a confidentiality agreement, provide it through the authorised procurement or legal contact for review. Do not assume a standard booking automatically accepts every clause in a separate document. Obtain confirmation of the agreed version and identify the parties and assignment to which it applies. Allow time for the review before the arrival day so unresolved document terms do not become an unexpected operational issue.

Set practical communication limits

Agree which contacts may receive itinerary updates and what information may appear in routine service records. Decide whether staff names, guest photographs or meeting locations may be shared externally. Practical instructions help translate the agreed confidentiality expectations into everyday coordination without requiring operational personnel to interpret complex legal wording. Where several suppliers support the visit, confirm the applicable arrangements with each rather than assuming one agreement covers every organisation.

Keep the final record limited

Request a service record that supports the booking and invoice without documenting private discussions unnecessarily. Identify the authorised recipient and follow the applicable agreed retention arrangements. A confidentiality agreement does not make unlimited information collection desirable; a proportionate record is easier for the client and provider to manage responsibly. If reporting needs change after the visit, ask for a proportionate update rather than requesting unrelated background material retrospectively.
