Register for the right areas
Check whether the protection professional needs an event badge, hotel permission or both. A hotel guest registration does not necessarily grant conference access, and an event badge does not grant access to accommodation floors. Ask the organiser and hotel to confirm the appropriate arrangements before the visitor arrives. If the conference uses several buildings, verify the relevant accreditation for each one rather than treating a hotel lobby meeting as proof of access elsewhere.
Separate meeting and hotel contacts
Identify the conference coordinator for agenda changes and the hotel contact for accommodation matters. One may not be authorised to answer for the other. Share the contact list with the client’s nominated decision maker so operational questions can reach the correct person without circulating the guest’s private details broadly. The client’s assistant should reconcile conflicting updates before they reach the working team, especially when the hotel and event organiser use different programme versions.
Review the full programme
Include breakout sessions, private meetings and evening receptions if support is requested for those activities. A conference title alone does not describe the working assignment. Explain whether the executive stays with colleagues or moves independently, because the pattern of movement matters when staffing and availability are reviewed. For a delegate who takes private calls between sessions, clarify the expected availability of the professional while respecting the guest’s need for confidential working time.
Agree working periods
Multi-session conferences can extend from breakfast to late evening. Request a staffing plan that covers the actual agreed periods rather than expecting one professional to work continuously. The CHF65 hourly rate and eight-hour minimum apply per guard; any longer programme and separate limousine requirements need written confirmation. A multi-day request should identify each day’s planned start and finish so the provider can assess a sustainable arrangement instead of an undefined continuous assignment.
