Define the guest’s commitments

List any speech, donor meeting, photograph or reception the guest has agreed to attend. The event organiser should validate that sequence. Personal protection should be scoped around confirmed commitments rather than an assumption that the guest will remain available for every request made during the evening. A guest who represents a company may need internal approval for extra appearances, so identify the person who can make that decision during the event.

Keep donor information limited

Operational staff generally need timing, contacts and venue arrangements rather than donor lists or contribution amounts. Share personal information only where necessary for an agreed task. The charity’s own team should retain responsibility for its supporter records and any permissions associated with photographs or publicity. If the charity asks for a photograph involving the assigned professional, obtain the relevant consent rather than assuming a private booking includes publicity rights.

Coordinate with venue staff

Identify the event manager responsible for admission and hospitality. Ask in advance about the accompanying professional’s access and waiting arrangements. A private booking does not authorise the professional to manage the whole event or replace the venue’s established responsibilities unless a separate scope has been reviewed and accepted. Where the organiser has its own security contact, include that person in the advance responsibility discussion without transferring unrelated event duties to the visiting professional.

Set the service finish

If the guest may leave before the event ends, make that preference known to the organiser and chauffeur coordinator. If they may stay longer, define how additional hours are approved. Keep the personnel rate, eight-hour minimum and separate transport costs clear in the client’s written confirmation. If a donor or host offers a new destination after the event, request confirmation from the client’s authorised contact before revising the agreed itinerary.
