Confirm the restaurant arrangements

Provide the exact restaurant name, address and reservation contact. Ask the venue what arrangements it can accommodate for an accompanying professional. Do not assume a table, waiting area or staff access is available unless the venue has confirmed it, particularly when a private dining room has been reserved. If the dinner organiser changes the restaurant, ask for a full corrected address and fresh accompaniment approval rather than relying on the original venue’s arrangements.

Describe the desired discretion

Explain whether the professional is expected to accompany the guest on arrival, remain available nearby within an agreed arrangement or continue through a later activity. The preference should be discussed with the venue and provider. Discretion means an agreed professional approach, not pretending the service has permissions it does not hold. The guest may prefer different interaction at a client dinner than at a private meal, so include the context without disclosing the substance of the conversation.

Allow for a variable finish

A dinner may end earlier or later than expected. Nominate the person who can approve additional time and keep the chauffeur informed through the same coordinator. Avoid assuming that a dinner invitation with no end time creates unlimited personnel availability or an automatic extension of an earlier daytime booking. If approval cannot be obtained during dinner, the provider and client should already understand how to address a request extending beyond the confirmed service period.

Confirm the final destination

Identify the planned Zurich hotel or other final address and whether the guest travels alone or with colleagues. If the after-dinner programme is undecided, mark it as provisional. Protection and transport charges should remain separate and reflect the service actually confirmed rather than an informal estimate of the evening. A separately booked return vehicle should receive the final departure instruction from the authorised coordinator, not infer it from the restaurant’s closing time.
