Label the programme clearly

Separate business meetings, private hospitality and optional leisure activities in the itinerary. Identify the host or organiser for each confirmed appointment. This helps the provider assess the requested duties without receiving unnecessary commercial papers or private family information that does not contribute to practical service planning. If a family member arranges the leisure stage, identify that person’s role without creating a second conflicting master itinerary.

Review changing participants

A principal may attend meetings with colleagues and later join family or friends. State who receives protection at each stage and whether the group remains together. If individuals split into separate activities, discuss staffing again rather than assuming that one professional can extend individual support to everyone who joins the visit. The principal’s assistant should make the accepted responsibilities clear to people joining later, especially where separate activities are planned.

Keep specialist needs explicit

Childcare, medical assistance, sports instruction and interpretation are not automatically included in personal protection. If any of these services are needed, arrange them with suitable providers and define the handovers. The protection professional should have an accepted role rather than inherit unspecified responsibilities as the day becomes more informal. For each separate service, name the authorised contact who can confirm arrangements and communicate relevant changes to the coordinator.

Agree the private-stage finish

Confirm the final Zurich destination and the person authorised to approve additional hours after business appointments end. Personnel remain charged at CHF65 per guard per hour with an eight-hour minimum; limousine transport is separate. A private dinner or spontaneous activity should be reviewed before it becomes part of the accepted programme. If the final programme is undecided, ask the provider to explain what is confirmed and what remains subject to availability.
