Private protection for an awards ceremony in Zurich. A practical planning overview · read the full guide below

Clarify the guest’s participation

Explain whether the visitor is presenting, receiving an award or attending as a guest. Each role can involve different preparation and access arrangements. Ask the organiser for the relevant call times and named coordinator rather than relying solely on the public event start time printed on an invitation. For a presenter or recipient, obtain the organiser’s instructions for any rehearsal or stage briefing and include them in the requested personnel hours.

Confirm backstage permissions

Where backstage accompaniment is requested, obtain approval from the organiser or venue. Private protection does not automatically grant access to production areas. If access cannot be provided, the client and provider should agree an appropriate alternative arrangement before the ceremony rather than resolve the expectation at the door. If another member of the guest’s team holds an access pass, do not assume that pass may be shared with the protection professional.

Coordinate photographs and interviews

The guest’s communications representative should confirm scheduled media commitments and who may change them. Include those commitments in the itinerary without circulating private background information. The protection professional supports the agreed programme; they should not be treated as the person responsible for approving publication or answering press questions. The organiser’s production schedule may differ from the guest’s publicity schedule; the authorised representative should reconcile them before distributing the final working itinerary.

Plan post-ceremony commitments

A reception or private celebration may follow the formal awards. Mark any optional activity as provisional and ask how additional time can be approved. Keep the Zurich return address and chauffeur contact current so the conclusion of the assignment reflects the actual agreed programme rather than an assumed departure. If the guest leaves with a host after the ceremony, specify whether that marks the end of the private assignment or an agreed continuation.
