Choose the lead welcome contact
The visitor should receive one clear explanation of whom to meet first. A company host can provide the personal welcome while the protection professional and chauffeur fulfil their separate duties. Share the agreed sequence with all three parties so the guest is not asked to choose between competing instructions. Tell the guest whether the corporate host will introduce the assigned professional, so the first meeting feels coherent and the visitor knows everyone’s role.
Confirm shared travel
State whether the host travels with the visitor or leaves separately. Include the host in the vehicle passenger count and luggage calculation if relevant. If the host intends to brief the visitor during the drive, make sure the selected vehicle and service arrangement suit that conversation without assuming a particular seating plan. If the host brings documents or equipment, mention those items when checking vehicle capacity without sending the contents of confidential business material to operational staff.
Handle a missing host
Agree whom to contact if the corporate representative is delayed or unavailable. The protection professional needs an authorised decision maker, not permission to invent a new business programme. Provide the confirmed next address and distinguish instructions that may proceed without the host from decisions requiring company approval. The fallback instructions should be simple enough to use when the host is unreachable, while preserving the company’s control over material changes to the visit.
Maintain a single schedule
Once the arrival is complete, use the same itinerary version for the host, chauffeur and protection coordinator. If the company changes the first appointment, communicate the full corrected address and time. Document any impact on the agreed hours and avoid relying on an informal instruction passed only to one person. The corporate host should not make an informal extension promise on behalf of the provider without confirming availability and the client’s approval of additional time.
