Describe the arrival party
State how many people are arriving together and who is receiving protection. Include luggage and any practical assistance needs for the chauffeur booking. If relatives or colleagues will continue to another address, mention that before the vehicle and staffing are confirmed rather than changing the scope at the airport. A hotel address is not enough when the party is divided between different properties; list each destination and explain which guest travels to each one.
Agree the first contact
The guest should know which name or booking reference to expect and which public contact to use if they cannot locate the meeting point. Keep instructions simple and consistent. Avoid sending several competing pickup descriptions from the hotel, assistant and transport provider without identifying the current confirmed version. If a third party arranges the booking for the traveller, ensure the traveller receives the final instructions rather than assuming they can access the assistant’s correspondence.
Coordinate hotel reception
Confirm the hotel booking separately and let the relevant reception contact know the expected arrival. Personal protection does not grant access to private hotel areas or override guest-registration requirements. If accompaniment beyond the lobby is desired, discuss it with the hotel and record the agreed arrangement before arrival. Where the hotel supplies its own luggage assistance, clarify the handover and leave any special storage request with the organisation actually accepting the items.
Explain the minimum assignment
The road transfer may be brief, but protection is booked at CHF65 per guard per hour with an eight-hour minimum. Ask how the remaining agreed time will be used if further support is needed. The limousine fare remains separate, and no additional activity should be assumed without a confirmed scope. For a guest who plans to rest immediately, define what availability is requested during the remaining booked period and how the guest may contact the coordinator.
